Frequently asked questions
- Do my customers need to download an app?
- No. They scan a QR code and the card opens on their phone — Apple Wallet, Google Wallet, or a web card as a fallback. There is nothing to install and no account to create.
- Do I need to replace my POS?
- No. Cafeity runs alongside your existing till. Staff scan the customer separately; payment is unchanged.
- Do I need any hardware?
- No. The scanner runs in a browser on a phone or tablet you already own.
- How long does setup take?
- Most cafés publish their card in under five minutes: name, reward, stamps required, then print the QR code.
- Who owns the customer data?
- Your café does. Each organisation’s data is isolated from every other café on the platform, exportable as CSV at any time, and deletable on request.
- Can staff see customer contact details?
- No. Staff accounts get the scanner only, showing a first name and a progress count. Contact details and exports are restricted to managers and owners.
- What stops a customer adding their own stamps?
- Balances live on our server, not on the customer’s phone. Only a signed-in staff account can add a stamp, and every stamp is recorded with who added it, where and when.
- Does it work if the internet drops?
- Stamping needs connectivity. The scanner says plainly that no stamp was added rather than pretending it worked. Offline stamping is deliberately unsupported because it invites duplicate and fraudulent stamps.
- Can I run one card across several branches?
- Yes, as soon as you have more than one location. Customers collect and redeem at any branch, and you get a per-branch settlement report showing which site earned and which gave away each reward.
- What happens if I cancel?
- Your account remains active to the end of the paid period. After that, new transactions stop and cards stop receiving updates. Export your data at any time, before or after.
- Do customers need to download an app?

- Can I change how many stamps are needed later?
- Yes. Existing members keep the stamps they have already collected, and the new target applies from their next stamp. Nobody loses progress and no earned reward is revoked.
- What stops someone stamping their own card?
- Stamps can only be added by a signed-in staff account through the scanner. The customer’s card is a display of a balance held on our server; nothing on their phone can change it.
- Does this work on Android?
- Yes. Android customers get a Google Wallet pass, and the enrollment page picks the right one automatically. A web card is available as a fallback on any phone.
- Will customers get a notification when they earn a reward?
- Where the platform allows it. Apple Wallet can show pass updates on the lock screen; Google Wallet handles notifications differently. Wallet updates and notifications are subject to Apple and Google platform capabilities.
- Do I need an Apple Developer account?
- No. Passes are issued and signed by Cafeity. You never touch a certificate.
- What if a customer’s phone cannot add a wallet pass?
- They get a web card instead — a page showing the same card and the same scannable code. Your staff scan it exactly the same way.
- Do I need separate QR codes for Apple and Android?
- No. One enrollment code serves both.
- Do customers have to give an email address?
- Only if you ask for one. Name is the default, and every extra required field measurably reduces sign-ups. Ask for what you will genuinely use.
- Can I use the same code at more than one branch?
- Yes. One code enrols into your program, and stamps are attributed to whichever branch scanned them.
- Do I need to buy a scanner?
- No. It runs in the browser on a phone or tablet you already have.
- Can staff see customer phone numbers and emails?
- No. The scanner shows a first name and a progress count. Contact details are visible to managers and owners only, and staff cannot export data.
- What if the internet drops mid-shift?
- The scanner tells your barista plainly that no stamp was added, rather than pretending it worked. Offline stamping is deliberately not supported — it is the easiest way to end up with fraudulent or duplicated stamps.
- Can I see individual customer history?
- Yes. Each customer has a profile showing visits, stamps, rewards and the branch each stamp came from.
- Do you sell or share my customer data?
- No. Your customer list belongs to your café, is isolated from every other café on the platform, and can be exported or deleted by you at any time.
- How many locations are included?
- However many you run. Pricing is $25 a month for one café and $15 for each additional location, so you never have to change plan to open another branch.
- Can a customer earn at one branch and redeem at another?
- Yes, and the report shows exactly that so branches can settle between themselves.
- Can I stop a staff member scanning at other branches?
- Yes. Assign them to specific branches and every other branch is refused by the server.
- Do I need to change my POS?

- Yes — it is the main case we build for. One café is $25 a month, with unlimited customers, cards and stamps.
- Can I try it before paying?
- There is a 14-day free trial with no card required. At the end of the trial, your data stays and you decide whether to continue.
- What happens to my customer data if I cancel?
- You can export your customer list at any time, including after cancelling. We do not hold your data hostage.
- Can I limit stamps to one per customer per day?
- Yes. Set a daily cap per customer and the server refuses anything beyond it, so it holds even on a chaotic Saturday.
- Can I run a different reward at Christmas?
- Yes. Change the reward whenever you like — existing members keep the progress they have already collected.
- How many stamps should a bubble tea card have?
- Six to eight suits most shops. Visit frequency is high, so a ten-stamp card is reachable, but a shorter card gets customers to their first reward faster — and that is the moment retention actually starts.
- Can I promote the card on Instagram?
- Yes. Every program has a shareable enrollment link as well as a printable QR code.
- Can I see which customers have stopped visiting?
- Yes. Customers are segmented by visit recency — active, at risk and lost — using their actual visit history.
- Does it work for a stall or a kiosk?
- Yes. There is no hardware and no fixed installation; the scanner runs on a phone.
- Can rewards expire?
- Yes, and it is optional. If you set an expiry, the customer’s card shows it, and expired rewards cannot be redeemed.
- Is a stamp card right for a low-frequency business?
- It can be, with a shorter card. If your customers visit monthly, a ten-stamp target is close to a year of commitment and most will drop out well before it.
- How many locations can I have?
- As many as you run. One café is $25 a month and each additional location adds $15, so a five-branch group is $85 and a twenty-branch group is $310. There is no plan to outgrow.
- Can each branch see only its own data?
- Staff are scoped to the branches you assign them. Owners and managers see the whole group, including the per-branch breakdown.
- Can franchisees see the whole network’s customers?
- Access is controlled by role and branch assignment. Operators manage their own staff and see their own sites; brand-level access shows the network.
- How is the cross-branch cost calculated?
- Every reward records the branch where it was earned and the branch where it was redeemed. The settlement figure per branch is rewards given minus rewards earned, over the period you choose.
- Do you support more than five sites?
- Yes, with no upper limit. Each location beyond the first adds $15 a month, and franchise settlement reporting is included rather than being an upgrade.
