Loyalty for café franchises

A franchise loyalty program has to serve two masters: the brand, which wants one card and one customer relationship, and the operator, whose P&L absorbs the free coffee. Most loyalty software only models the first.

One brand, many operators

A single program and customer database across the network, with each branch recorded against its franchisee.

Settlement per branch

Rewards earned versus rewards given, per site, so inter-branch cost is a report rather than a dispute.

Operator-level staff control

Each operator manages their own team, scoped to their own sites.

Brand-controlled rules

The reward, the target and the card design stay with the brand, so the offer is the same everywhere.

Why settlement is the whole conversation

Franchisees do not object to loyalty programs. They object to paying for rewards earned at someone else’s counter with no visibility and no recourse. Recording where each reward was earned and where it was redeemed turns that from a grievance into arithmetic, and arithmetic can be settled.

What to agree before launch

Three things, in writing: who funds the reward when it is earned and redeemed at different branches, how often the settlement position is reconciled, and who owns the customer data. The last one is the one people forget, and it is the one that matters when an operator leaves the network.

Common questions

Can franchisees see the whole network’s customers?
Access is controlled by role and branch assignment. Operators manage their own staff and see their own sites; brand-level access shows the network.
How is the cross-branch cost calculated?
Every reward records the branch where it was earned and the branch where it was redeemed. The settlement figure per branch is rewards given minus rewards earned, over the period you choose.
Do you support more than five sites?
Yes, with no upper limit. Each location beyond the first adds $15 a month, and franchise settlement reporting is included rather than being an upgrade.
